CCS answers questions about Proof of Residency Letter

A Proof of Residency letter sent home from Clay Community Schools caused quite a few questions from parents.

Superintendent Jeff Fritz anticipated questions about the new Indiana Department of Education’s requirements.

The IDOE requires all school corporations to do this for enrollment numbers. The corporations then use the data for funding from the state.

Fritz explained it’s like the confirmation process used for drivers’ licenses. “Parents are required to provide something to the schools showing their present address,” Fritz said, adding each school put its own letterhead on the same information provided by CCS Administration Office. A list of approved documentation (must show the date, parent or guardian name, and address) includes:

• Current utility bill

• Most recent federal tax return

• Mortgage statement

• Loan application

• Rental/lease agreement

• Vehicle Registration

• Voter registration

The documentation can be provided to the school or uploaded as a file at www.clay.k12.in.us under the ANNOUNCEMENTS section of the homepage.

“Parents only need one of these documents to show proof of address,” said Fritz. “Again, this is a requirement issued by the State IDOE that all local school corporations must follow.”

Fritz said the data would be placed in the student’s file and not be used for any other purpose.

Since this is something new, said officials, parents have submitted very few to Central Office.

Fritz said, “We are working on a second letter to explain the requirements further if needed.”

PROOF OF RESIDENCY LETTER

The state of Indiana is requiring school districts to collect proof of Indiana residency documentation for all students. To comply, we are asking you to submit documentation that shows your name and current address.

Approved documentation includes:

Current utility bill

Most recent federal tax return

Mortgage Statement

Loan Application

Rental/lease agreement

Vehicle Registration

Voter Registration

Documentation must show the date, parent/guardian name and address. This can be turned in to your students’ school or you may also take a picture and upload the document at www.clay.k12.in.us.

If you are unable to upload documentation, please provide your school with a copy as soon as possible.
